BOOSTER CLUB MEETING MINUTES
January 10, 2012
Meeting called to Order at 7:10 by Stephanie Henson

Treasury Report: Current balance of $5315. No activity since Basketball Tournament

OLD BUSINESS:
A. Snack bars:
1. Basketball: Page will continue to purchase for gym snack bar. Nicole has volunteered for all games.
2. Soccer: Robin and Sandra have volunteered to run but so far we have not had one. Nanette text Sandra last night and is waiting to hear back. Page said Robin’s work schedule has kept her from being able to run these. Question post mtg: Are WE looking to fill these positions to have a snack bar open at the future games? And if WE are, who is the WE???
3. Jr Hi Baseball and Softball: Stephanie was going to run these but it hasn’t worked out due to her keeping stats. With only a few games left, are WE looking for volunteers to work these?
B. Staples Center :
1. Date is January 30th and game times are 11am Girls and 1pm Boys.
2. Ticket prices have been decided on by athletics to be same as last year, $25 a piece. Cost to us increased from $12 a ticket to $16 a piece.
3. Athletics has sent out a “Save the Date” as it were email. Was it school wide or just athletes and/or Secondary? We talked about the time dated info on the flyer and Page informed me that a new flyer was acquired this morning. Question: The email stated that there was a ‘deadline’???
4. As for additional Booster advertising: None was decided on at the meeting. We should be sending out flyer or making posters. Renee did ask about having flyers/order forms at the games between now and then.
5. Transportation: Page informed us that it has been decided that school is charging a fee of $3 each to ride the bus. We discussed whether or not the Boosters have paid for the bus in the past. It was thought that Boosters may have only paid for gas and/or parking. We touched on the fact that more money for the trip, less fans would be going. Nanette and Renee felt that Booster should pay for the bus fees, Page felt that we would again be loosing money if taking on the cost. The Excursions will be transporting basketball teams.
6. Cheerleaders: In the past: Year 1 and 2 cheer did not go “as a group” and paid like everyone else. Year 3 cheer only paid the cost of the ticket. This year cheer is proposing to go to the game and cheer (Debi checking on if they are allowed to do so). If the cheerleaders are allowed to cheer, Booster will cover the cost of their tickets. If they are not allowed to cheer, Booster will only require them to pay the cost ($16 each)
7. Teams and Coaches: If all players go it will be 7 girls plus coach, 11 boys plus coach. Boosters are purchasing all of these tickets.
C. Ticket Selling Jr Hi Volleyball Girls Pizza Party: The girls have not received their Pizza Party yet. They were told if they sold over $150 in Half Time tickets that they would receive a Pizza Lunch. In fact they sold over $250 worth (GREAT JOB GIRLS!!!). We apologize for dropping the ball on this one and Nanette will get with Coach Tanya tomorrow to work out the Pizza Party Details.
D. Basketball Half Time Drawings:
1. We still have a few items so yes we should do this.
2. Nanette will get a list of games and a schedule of who will be in charge together for emailing out. Stephanie and Nanette will work together to organize these events.
3. Anyone with Drawing Items and/or ideas should seek out Nanette, Page or Stephanie with details.
NEW BUSINESS:
A. Giant One Day Thrift Store, No3!
1. Date: April 28th 8am to 2pm in the VVCS Gym
2. April 27th is a ‘No School’ day. This is correct so we should be able to have the gym for drop off and sorting the whole day… AWESOME! Can Debi put in facilities request for the Friday as well as the Saturday?
3. It was decided last year already that the early storage was not helpful so we will not pursue that again this year.
4. We still have the giant TV to sell (just have to locate it!)
5. We will discuss this event in some more detail at next meeting. Nanette will bring in last years work schedule.
B. Maverick Game: The Mavericks game schedule is not ready yet. As soon as it is Nanette will get with Erick, Debi and Coach Hobbs to secure a date and opponent to play!
C. Up Keep Dirt for Clay on Fields: Nanette will talk with Coach Hobbs, Larry and Debi and get back to group at next meeting if there is maintenance needed and at what cost.
OPEN FORUM:
A. Renee brought forth an issue from Booster and parent points. Since the 2009 Baseball Agape Championship Royals Boosters have offered to purchase a team shirt for all Agape League champions in every sport. Not all have accepted this offer. We have kept the shirt price from $10 to $15 each. It was decided a couple of champion teams ago that additional shirts must be prepaid to order.
This fall we had both Varsity Volleyball and Jr Hi Football champion in their leagues. The Jr Hi team parents gathered together and purchased for their kids shirts to celebrate. When the idea of a Booster paid shirt was brought up, the parents said all was said and done, no big deal. But in the case of the Varsity Volleyball team it was “kind of” talked about but never as a group decided to or not to continue the tradition of champion shirts for this 2011 team. Renee asked if we could discuss it again and at the end of the discussion is was motioned by Jeff Maas and seconded by Renee Morris that we purchase a team shirt for the 2011 Volleyball team. Nanette will get with the team to decide on a design and take care of this item. Page thinks that this should not be a given item but talked about after any future championships and based on monies available whether we purchase shirts next time.
