BOOSTER CLUB MEETING MINUTES

March 2, 2009

Meeting called to Order at 7:10 by Russ Netter

Opened in Prayer by Obie Galindo

Officers in attendance:  Russell Netter - President, Obie Galindo – Athletic Director, Page Porter - Treasurer Nanette Hintz - Secretary

In attendance: Board Members Jeff Maas, Renee Morris.  Fran Bowerman, Lisa Galindo, Coach Marcus Quarles and Cj Hintz

 

Treasury Report:  Beginning Balance of $4661.98.  Paid Out; Smart & Final $143.52, Catchers Gears for Baseball $246, Jerky $816.48.  Deposit of $280 from Snack Bars.  Ending Balance: $3735.98  Only outstanding issues at this time is the light bill for the softball tournament ($428). Page is collecting the jerky money that was due today.  Nanette will have a count on scratcher cards needed and will get a check for those later this week.

 

OLD BUSINESS:

A.       Website:  Todd was unable to make the meeting tonight but had no news to relay.  As always, Todd is looking for more info to keep the site fresh. 

1.        Cj has Girls Varsity Basketball video and additional pictures collected to give to Todd. 

2.       Todd received bio info on most Spring coaches.  Nanette will get Stacie Erickson’s info and relay it and any coaching changes to Todd soon.

3.       Todd has worked on a “mini preps” for junior high basketball to post game scores and stats.  Nanette will get with coaches to use this for the kids.

4.       Russ suggested that maybe Todd could put the need for officers and nominations at our April meeting on the front page to attract some interest.

B.       Mavericks Game:

1.        Date is set for April 11th VVCS game is at 10am against Apple Valley Christian.  We can have tickets on March 30th.

2.       Nanette brought the flyers, order forms and posters used last year.  Jeff and Page proof-read.

3.       ASB will announce the game at Fridays pep rally and hang posters first of next week.

4.       Flyers will be copied and passed out at the Softball Tournament and the baseball game on Saturday.  Special copies will be hand delivered to the players and coaches.

5.       Page will renweb and ask Mr. S to mention in morning announcements.

C.       Scratchers:

1.        Stacie Erickson is contact for track team.  Will have roster by end of the week.

2.       Nanette will order cards as soon as we have a count of athletes.

3.       Cards will be handed out by Nanette and athletes will have 2 weeks to return.

D.      Jerky:  As noted in the treasures report, Page ordered the jerky, sorted it into bags, distributed it to the teams and now is in the collection mode.  She has had a few athletes return some jerky and Lisa said she could sell it at work.  Lisa and Page will meet after the meeting.

E.       Snack Bars:

1.        Gym Snack Bar is cleaned out.  With only one junior high team it was decided that unless there is a ‘big deal’ local team game we will not have a snack table at the basketball games.

2.       Football/Soccer Snack Bar:  Shelly Gruenewald has said that she would be our “Page” for junior high soccer home games and run a snack bar each game.  These will be drinks and goodies only.  Shelly will be given full rights on open/close and what to carry for the season.  Thank you Shelly!

3.       Softball and Baseball Snack Bar:  It is clean now.  Nanette will get it stocked and ready for the tournament.  It will be a $300 to $400 trip to Smart & Final.

a.        Coach Obie has his team volunteering and scheduled to run the snack bar at all tournament games March 6,7 and 9 except for their own games.  Coach Hobbs has members of his team running the snack bar while the Ladies are playing.  Nanette has filled in some adults to help keep things going.  Booster Officers will be on hand and on site!

b.        Nanette is still working on the schedule for the season and will have it ready on Friday to start handing around.  Please check the website for schedules of games and see if you are available for any of the dates.  Remember, it is warm in the Snack Bar and you can see both fields!!

F.       Winter Sports Awards:  Thank you Page and Russ for once again doing this for the athletes.  It is an honorable award to give and to receive. (Nanette will get the list of all athletes who have received this award to Todd to post on the website.)

G.       Baseball Catching Gear:  Thank you TJ for helping get a great deal on the equipment.  Picked out, paid for and being used!

 

NEW BUSINESS:

A.        New Officers:  Russ will be stepping down after filling his two year term as president after the May meeting.  The office of Secretary is open and Nanette can take on the roll of Snack Bar and Communication Officer.  Nominations are to be held in April at the meeting.  Page will send out a Renweb note, Nanette will send out a Booster Email notice and Todd will put on the website.  Anyone interested should come forward and speak with any current officers regarding what the positions duties entail.

B.        Coach John Martin sent in a letter regarding golf needs.  Obie will get with Coach and clarify the needs and get back with the officers this week.

C.        Coach Marcus Quarles came to the Booster Club with a need.  He would like to take his team to a tournament in July located in San Diego .  It is structured so that he can place his team in a competitive bracket.  It is pool play advancement and would be a great experience for his team.  He asked if the Boosters could help out by paying the team entrance fees of $510, due May 1st.  The players would be responsible for raising the other monies needed for food and hotel.  After a lengthy discussion about last summers girls basketball tournament money that Boosters gave and the situation of no association rules, Jeff made a motion that we give the team the entrance fee of $510.  Page seconded it and all said ‘aye’.

D.       Cj Hintz, Vice President of VVCS ASB came to us with a proposal.  ASB would like to use there earnings from this year to purchase a replacement mascot for the one that has gone missing since the end of school year 08.  They would like to get the exact same mascot as a lot of research went into finding the right lion for the job just a year and a half ago.  If it is still available the cost would be $900 - $950.  ASB would like to know if the Booster Club would split the cost of the new mascot with them.  ASB would provide an occupant for it through school wide tryouts and would secure the mascot under the watchful eye of their advisor, Mrs. Clarkson.  Jeff made a motion to split the cost of the new mascot with ASB up to $500.  Renee seconded the motion.  Russ thanked Cj and the ASB for the help they have given the Booster Club this past year.

E.        Athletic Sponsors:  Renee brought up the Snack Bar passes for Free Food that the banner holders receive.  There really is no control over these and the Booster volunteers in the snack bars are being taken advantage of in some instances.  Obie and Page will make a change to the way those free-bies are given.  Suggestions for them were punch cards, cards only good for a short time or a certain amount of item coupons given at the beginning of each season.  Nanette suggested Boosters might even pay for these cards as it would save the Boosters money in the long run.

F.        September 4th:  It will be a scrimmage.  Up to eight football teams all here on the VVCS field at one time.  Lots of people.  Goes on for a long time.  Lots of people.  This is Boosters heads up to get the snack bar appropriately stocked and staffed for the evening!  Thank you Obie!  (did he mention there would be a lot of people there?)
