BOOSTER CLUB MEETING MINUTES

April 6, 2009

Meeting called to Order at 7:10 by Russ Netter

Opened in Prayer by Obie Galindo

Officers in attendance:  Russell Netter - President, Obie Galindo – Athletic Director, Page Porter - Treasurer Nanette Hintz – Secretary, Todd Ivory - WebMaster

 

Treasury Report: Beginning Balance of 3735.98.  Out was to Snack bar stock and restock, Scrathcer Cards.  In was snack bar ($1369) and jerky ($1354). There are a few issues with money juggling but ending balance is officially $4596.11.  Still pending is overpayment reimbursement from Staples, Varsity Girls Tournament fees, Mascot amount.

Web Report:  Junior High Basketball is working on getting stats to post on the minipreps.  We need to ask Junior High Soccer if they would like to post stats also.  Todd is always looking for info to post and is adding and changing things often to keep it fresh.

 

OLD BUSINESS:

A.       Golf Team letter from last meeting: Obie is working on this with Coach Martin.  Golf Team is to work hard on scratchers to help pay for the shirts.

B.       Mascot:  Waiting on info from the cheer coach on the mascot.  It will be ordered as soon as we get the info.

C.      Fund Raisers:

1.        Mavericks Game:  The tickets will be available at the game.  Posters have been hung.  Page has sent emails and reminders will be sent this week.  Apple has tickets.  Nanette will pass out flyer at Thursday’s game with Apple and will have tickets on hand at Tuesdays and Thursdays games.  Weather will play a big part in this year’s success.

2.       Scratchers:  Golf and Track both had delays on handing out the booklets so the time has been stretched for turning them in.  Page will email parents and Nanette will make “your kid has something to show you” calls and “your scratcher booklets are due back in” calls.

3.       Jerky:  Always does well.  Page gave the remainder of jerky to Lisa Galindo to sell at work.

 

NEW BUSINESS:

A.       Snack bar security: The snack bar was broken into again.  This time the baseball bar was pretty well stocked and they got away with quite a bit of stuff (but they don’t like diet soda!).  Police were called again.  At this time we will need to take most items out and keep them in a more secure place after games.  Idea to help this from happening again: Motion Lights, padlocks at top and bottom of the security door, noise when the door is opened.  Russ is going to get with John Kilmer and work with him on these and other ideas.

B.      New Term Elections: 

1.        President:  No one came forward for nomination.  Russ will be stepping down as of the June meeting.  As the by laws state, until someone is found or comes forward, VVCS Athletic Director is to step in as pro-temp.

2.       Secretary:  Nanette Hintz will take another term.

3.       Treasure:  Page will remain and take on another term.

4.       Webmaster: Todd will continue this adventure until someone steps up to take over.

5.       Communications Officer: no one was nominated

6.       Snack Bar Manager: no one was nominated

7.       Procurements Director: no one was nominated

 

OPEN FORUM:

A.       Basketball Tournament dates are Nov.30th through Dec 5th

B.       Softball Tournament Lights:  Boosters voted on and were to pay for the lights for the March event.  A wonderful gift of payment in full was made for the lights by someone other than Boosters.  Softball coach Galindo asked if the money already tagged for lights could be re-spent on field drags for both baseball and softball.  The group decided that was do-able and voted to change the purpose of the funds.  Coach will order within or very close to the same dollar amount as the lights ($400) and will email officers for approval before final purchase is made.
