BOOSTER CLUB MEETING MINUTES

November 3, 2008

Meeting called to Order at 7:10 by Russ Netter

Opened in Prayer by Obie Galindo

Officers in attendance:  Russell Netter - President, Obie Galindo – Athletic Director, Nanette Hintz - Secretary  Officers not in attendance: Page Porter - Treasurer

In attendance: Jim Bowerman, Susan Conway, Todd Ivory, Janelle Pelayo, Jodie Gonzales, Coach Marcus Quarles

 

Treasury Report:  Page left her report with Obie.  The only activities in the past month were snackbar related.  Starting balance of $4676.52 and ending balance of $5041.52.  Pending items: Soccer Jerseys - $630, Baseball Mound Cover - $320, Softball Helmets - $300.

 

OPEN FORUM:

Welcome Coach Obie Galindo, Varsity Football:  Coach came in search of some help with special items for his seniors and coaching staff.  Without revealing ‘secrets’ boosters agreed to help in the tune of $120.

 

Welcome Coach Marcus Quarles, Varsity Girls Basketball:  Coach came mostly just to be part of the Booster process but after asking him and the athletic director what the girl’s team may need it was decided that they mostly need new basketballs at this time.  After Marcus goes through the equipment and uniforms he may be back in Dec!

 

Welcome Jodie and Janelle, moms of new students here at VVCS:  They brought a unique fund raising idea to us.  They help organize groups to go to tapings of the TV show ‘The Doctors’.  Tapings are on Thursdays and Fridays, 36 people raises $500 for your group or $10 a head.   These tapings are year round and they are for 16 years old or over.  They left an example flyer for us to look over.

 

OLD BUSINESS:

A.       Booster Website:  Todd Ivory.

1.        The site is up and independent now.  The address is www.vvcsboosterclub.org.  All costs that were discussed last meeting have been donated at this time.

2.       Todd needs feed back and input to keep the site ‘fresh and up-to-date’.  Pictures, practice times from coaches, schedule changes.

3.       The group talked about adding coaches bios and also player bios.  Nanette has the coaches info from the BBQ and will email the file to Todd.  As for player info, Obie is going to get schools okay and then we will workout the procedure for gathering info.

4.       Nanette has sent the website address and link to the Booster Email Bank.  Obie will ask Page to Renweb the info also.

5.       Obie will ask Marlene to get a link on Renweb directly to the Booster Club Website.

6.       We discussed a forum section and decided that that would take more supervision than we have at this time.

7.       Todd printed up 50 business cards with the website address on them.  Russ will pass them out at the Tail Gate Party, Obie will get some more and get them on the school office counter and to the teachers for passing out at the parent conferences.  Todd is going to print more and we will have them available at the gates and snack bars as soon as they are in.

B.        Staples Center :

1.        Michelle Hunt has had to pass on the honor of ICB of this event but Obie graciously picked it up.

2.       Nanette brought the final proof of the flyer and emailed the file to Page to copy at the school.  They will charge us $0.20 a copy.

3.       Obie was unsure if we would be able to get more than the 200 tickets. (***post meeting Obie does confirm we can have as many tickets as we can sell so…)  The flyer will be passed out starting the end of this week to ALL elementary, junior high and high school students.  Flyers will be available in the office, on our website and will be Renweb’d out.

4.       Important info on the flyer:  Tickets are $35 each.  Everyone   attending the VVCS Game MUST have a ticket (including the players).  Orders must be in by Dec 1st.  Boosters are sponsoring the bus with 45 seats for the first people wishing to ride.

C.        Wreathes:  Kathy Davis the ICB has all the info ready to go.  Letters and forms are in the office.  At this time we wait for the ‘salesmen’.  The teams for the Winter sports will be picked in the next two weeks.  Wreathes can be ordered in the office.  This fund raiser will help pay for new soccer jerseys and baseball & softball equipment.  Orders are due Nov 17th. 

D.       Half Time Drawings: 

1.        Russ wished to know where we stand with items and what kind of drawing we do at Basketball games.  Nanette has no items left other than the two footballs.  Obie will take one and the other will be for Saturday’s game.   Marcus suggested a 50/50 drawing.  We think maybe this would work for basketball, one for the girl’s halftime and one for the boys (varsity).

E.        Programs:  Obie will get with John to get programs for this weeks senior games.  Todd has some pictures on the website for them to use if needed. 

F.        Contests at Games:  Volleyball contests did not work with the teams and schedules that we had this year but maybe next time!  Obie suggested some fun things to do at the basketball games.  All sounds great but we need someone to take charge and make them happen.

G.        Tail Gate Party:  All is a go.  Mr. S is going to run the mike, Obie will work with the music dept to getting should out to the parking lot.  Obie will also get the parking lot taped off and some tables out for the desserts.   ASB will pass out flyers on Friday, judge the contests and pass out prizes and give the ½ price admission tickets to all tail gaters.

H.       Assistant Coach Compensations:  Obie read to us from the BLUE BOOK.  If Booster Club wishes they can donate money at any time to the Athletic Dept but can not ‘earmark’ it for any coach compensations.  End of discussion.

 

NEW BUSINESS:

          A.  Fall Sports Awards Ceremony is November 20th at 6:30pm in the church.  Boosters will keep with the Highest Grade Point Average Award on each team for the second year.  Nanette will do certificates, Page will gather goodies and Russ will do the passing out.
