BOOSTER CLUB MEETING MINUTES

August 4, 2008

Meeting called to Order at 7:10 by Russ Netter

Opened in Prayer by Page Porter

Officers in attendance:  Russell Netter - President, Page Porter – Treasurer, Nanette Hintz - Secretary  Officers not in attendance: Obie Galindo – Athletic Director, Lisa Galindo – Purchasing

In attendance: Board Member Renee Morris, Todd Ivory, Jim Bowerman and Fran Bowerman  

 

Presidents Address: Russ and family will happily be moved to a new home in the next.  Happy and safe moving Netter Family!

 

Secretary Report: Due to the fact the minutes were not emailed out, Nanette read the minutes of July to the group.  No additions or corrections were made.

 

Treasury Report:  Not a lot of account activity.  The remainder of the Track Team scratcher funds was deposited and the Golf Tournament payment for the drinks was made for $178.  Ending balance in July was $3915.  No items are outstanding.

 

OLD BUSINESS:

A.        Coupon Booklets

1.        Nanette will order 250 booklets to be delivered as close to the Kick-Off dinner as possible.

2.       Each team will have a Booster in charge of distribution, awareness and collection.  Nanette will provide each ICB (In Charge Booster!) with a team list, flyer with ‘contest’ and prize info with dates, and the booklets night of the dinner.

3.       Three weeks is tops for time given to sell (Sept 18th)

B.         Spirit Items:  We do have an ample supply of scarves, chairs, key chains, cups and megaphones.  We decided to add one new item to the mix.  It needs to be inexpensive and retail for between $1 and $3 each.  Fran suggested Pompoms and Page suggested Foam Fingers.  Nanette will research this week, find 3 items within $250 cost to us and do an email vote early next week.

C.           Booster Shirts:  Nanette did not hear back from Bugspot yet and Michelle was not able to make the meeting.  We will try to get this done before Back to School night.  Renee says that the jackets will run around $150 each.  No one at this time is at a place to make such a purchase so we will keep this idea until one of us hits the lottery! (thank you for looking into it Renee!!!)

D.          Banners:  Renee has a supplier that can make the GAME TONIGHT banners in vinyl with graphics and grommets for about $100.  The Snack Bar OPEN banner would run around $40.  Nanette will get with Obie this week and decide how to hang and who to hang before we make the final purchase.  If we cannot figure out the large banner we will order only the smaller.

E.          Back to School Night:  Nanette will set up a Booster table again and do a Drawing Slip.

F.           Kick-Off BBQ:

1.        No mass mailing.  Nanette will ask Obie to send out a short note late this week to make everyone aware of the BBQ.  Nanette will email the flyer to Page to send out on RenWeb when she returns to work.

2.       We will use an ICB to get the Preorder Tickets Form to all athletes.  This form will also be in the office on August 18th and at Back to School night.

3.       Nanette will get started on filling out the volunteers needed to make the Kick-Off work starting with our faithful BBQers Todd Ivory and John Kilmer (thanks guys!).  We will need someone in charge of each festivity.

4.       Nanette will gather the items for prizes and drawings.

5.       Page will ask the church about their bounce house, Pastor Martin about a putting green and the actual location of the Football toss.

6.       Obie and Nanette will work together on inviting and gathering info from each coach for their sports table.

7.       We will have a budget of $100 for decorating and promoting the Kick-Off and the Back to School night.  (including $18 already spent on balloons)

G.           RenWeb:  Page answered some of the questions we had.  Boosters cannot have access.  Coaches can only have access if they are teachers at our school as well.  Page will unselfishly and willingly take on the new hat title of Booster’s RenWeb Expert (as if she didn’t already wear that hat, thank you Page!)

H.         Staples Center Game: (if you were at this meeting no, you didn’t fall asleep and miss this.  I forgot to mention it but this is what I would have said if I had remembered…) We have the form to fill out to request a game date.  This form needs to be submitted with a deposit of $250.  When the dates are available, Nanette and Obie will fill out the form and turn it in.  This should only be a formality since we have already approved this event and our athletic director is the one who needs to approve the date picked.

 

NEW BUSINESS:

A.        Snack Bars:

1.         After discussion and reviewing all prices will remain the same as last year at this time.

2.        We were interested in knowing about the coffee truck and the coffee shop.  What is planned for football nights?

3.        Need to ask Obie about moving the picnic tables to the snack bar area before Varsity games or get up to three round tables and some chairs brought to the field as an eating area.

4.        Snack Bar schedule book is ready.  It will need to start making the rounds and get filled out. 

5.        We would like to plan a special menu for Homecoming game.  Should make the plans at our October meeting.

6.        Nanette will come up with an Early Bird Meal Deal coupon to RenWeb out before the first game (Sept 5) offering a $1.00 off if you purchase between 5:30 and 6:30pm.

B.          Programs:  In the past Booster Club (under different management) provided our teams with programs at their home games full of info, pictures and advertisements.  John Kilmer did the printing of these for the cost to himself and the Boosters were able to bring in some monies in this advertisement to cover the program costs and put money into our account.  We need to do this again.  How…

1.         Nanette will talk to John about the details what was done before and if it is something he would do again.

2.        Russ will talk to Mojave Printing about how much they would charge to do this set up and printing.

3.        Russ will work up an outline for collecting advertising to include how much money donated and what that tax free donation will get you.  We will have this information available at the Kick-Off BBQ and will try to start selling ad space for our programs.  *Renee asked about yearbook ads and if we could share advertisers with them.  Nanette will talk to Mrs. Rister to see how the yearbook has their ads set up.

C.         Offices that need to be filled:

1.         Snack Bar Volunteer Coordinator:  The schedules are all set we just need someone who will call people and fill in the blanks.  And also call on game days and remind people that they are working.

2.        Purchasing:  Need to ask Lisa if she is willing to take this on again.

3.        Corporate Donations Officer:  Someone who is willing to call, pound payment, etc to solicit donations on a business level.

4.        Game Drawing Specialist:  This person would work closely with the Corporate Donations Officer to prepare for all home game halftime drawings (all varsity football, varsity volleyball, varsity basketball and double header varsity softball and baseball games).  This specialist would organize athletes, parents, and/or school groups to help in the selling of the tickets, flyers/posters to promote the drawings and the handing out of the prizes.   

 

OPEN FORUM:

A.       Renee asked if Nanette would be able to send out a 2 week reminder of things that people signed up for and of course she will.

B.       Obie submitted an order for training videos that he as Athletic Director would like to have in our Sports Library.  We will pay for the videos that are for use for almost all sports.

 

Calendar items for the next month:  August 18th- Practice for Fall begins!  August 22nd – Back to School Night  August 28th – KICK-OFF BBQ.
